Setting up E-mail Clients

1. Which e-mail client should I use?

We offer a list of email clients that you can use here -> E-Mail-Clients.

Please note that only the Outlook mail client, which is included with Microsoft Office, can be used without hesitation. All other apps and programmes with the name Outlook may not be used for the university account. This recommendation naturally also applies to private e-mail accounts.

2. What is the best way to set up my e-mail client (Exchange protocol)?

If a connection via Exchange is possible, you should preferably use this protocol. Here, not only your e-mails, but also your contacts and calendar entries are synchronized with your end device.
Use your default email address (not your alias) and your personal password for the setup. If you do not know the difference between your default email address and your alias, please read the following information -> e-mail - overview.

Server and protocols:

3. Alternatively, how do I set up my e-mail client (IMAP protocol)?

If a connection via Exchange is not possible, it is best to use the IMAP protocol instead. Here, only the emails and no contacts or calendar entries are synchronized.
Use your default email address (not your alias) and your personal password to set it up. If you do not know the difference between your default email address and your alias, please read the following information -> e-mail - overview.

Server and protocols:

  • Incoming e-mail server: exchange.umwelt-campus.de
  • Encryption: Port 993 (SSL) (alternatively 143 (TLS / STARTTLS))
  • Outgoing e-mail server: smtp.umwelt-campus.de
  • Encryption: Port 587 (STARTTLS)
4. How to set up my e-mail client in case of emergency (POP3 protocol)

If your device does not support Exchange or IMAP as connection protocol, use the POP3 protocol instead. In this case, only the e-mails are retrieved and no contacts or calendar entries.
Use your default email address (not its alias) and your personal password to set it up. If you do not know the difference between your default email address and your alias, please read the following information -> e-mail - overview.

Server and protocols:

  • Incoming e-mail server: exchange.umwelt-campus.de
  • Encryption: Port 995 (SSL) (alternatively 110 (TLS / STARTTLS))
  • Outgoing e-mail server: smtp.umwelt-campus.de
  • Encryption: Port 587 (STARTTLS)

1. How can I create automatic filter rules (inbox rules)?

You can also use our instructions for the automatic handling of SPAM e-mails as a template for your own inbox rules. You can find the instructions on the page -> SPAM.

2. How can I highlight external emails in colour in Apple Mail?

To highlight external emails in colour in Apple Mail (macOS), please proceed as follows:

  1. Start the Mail app.
  2. Open the settings in the menu bar under Mail.
  3. Navigate to the Rules section and select Add Rule.
  4. You can freely select the description (recommendation: ‘RZHT external labelling’).
  5. Now click on the From drop-down field for the condition and then on Edit Header List at the bottom. A new window will appear.
  6. Click on the small + at the bottom left and then enter X-Policy-Bank. Exit the window by clicking OK.
  7. Click on the From drop-down field for the condition again and select the newly created X-Policy-Bank entry.
  8. You can leave the contains and enter EXTERNAL in the field behind it. The section should now be complete:
    If one of the following conditions is met: X-Policy-Bank contains EXTERNAL.
  9. In the Move Message drop-down field, select Set Colour of Message instead.
  10. Select any colour in which the external messages are to be marked and save the rule with OK. The section should now be complete:
    Perform the following actions: Set Solour of Background Yellow.
4. How can I highlight external emails in webmail?

To highlight external e-mails in webmail (webmail.umwelt-campus.de) in colour, please proceed as follows:

  1. Login to -> Webmail.
  2. Click on any e-mail in your mailbox.
  3. Open Categories in the menu bar at the top and select Manage Categories.
  4. Click on the small + Add New Category at the bottom left.
  5. Select a colour in the new window, enter EXTERNAL in the free text field and exit the window by clicking OK.

The selected colour is then also used in your local Outlook.
